UA Statewide Online FERPA Training
 
This training is required for several different situations:
  • Requesting access to student information in Banner, OnBase, Toad or DSD WebQueries (QMenu/QAdhoc)
  • Becoming designated as an advisor, so that you can use DegreeWorks and the UAOnline tools for advisors
  • Getting or retaining access to student information in systems managed by your college, school or office, or--if you are already designated as an advisor--retaining access to some UAOnline advisor tools
Complete the training and get your certificate:
  1. You must use a University of Alaska Internet connection for this training. That can be through a computer in your University office, a University lab, a University library, or in a University location that provides wireless Internet access. If you have to use a non-University Internet service provider (such as ACS, GCI, etc.), log into the University's virtual private network (VPN). To get information about the virtual private network, contact the UAA IT Services Call Center (callcenter@uaa.alaska.edu, 786-4646) or, if you work at a location outside the Anchorage area, contact your local University call center or help desk.
  2. Use your Internet browser to go to UAOnline.
  3. Select Log In, fill in the required items, and then press the Enter key or click the LOGIN button.
    If you are not able to log in, send an e-mail message to Charese Gearhart-Dekreon.
  4. Make sure you know how your UAID and name are recorded in your employment records: select Personal Information, then UA ID Number and Username. When you complete the FERPA training, you'll need to provide your UAID and first and last names, and what you type must exactly match what is in this part of UAOnline, including capitalization and punctuation.
  5. Select the Employee tab.
    If there is no Employee tab, send an e-mail message to Charese Gearhart-Dekreon.
  6. Select Employee Services.
  7. Select Employee E-Learning.
  8. Select FERPA Online Training.
  9. Go through the training.
  10. When asked for your UAID and first and last names, type them exactly as they were shown in step 4, including capitalization and punctuation (UAOnline's welcome message shows you how your name is recorded in Banner). Do not enter your middle name or initial in the FERPA training site.
  11. Complete the quiz and submit your answers.
  12. Get your certificate of completion and print it.
    If your computer recognizes Adobe PDF or a similar PDF creator as a printer, you can use that option to save an electronic copy of your certificate instead of printing a hard copy.
  13. Keep your original certificate in a safe place.

What you should do next depends on what your goal is:

  • Requesting access to student information in Banner, OnBase, Toad or DSD WebQueries (QMenu/QAdhoc)

    Send a copy of your certificate, along with your other access request forms, to Charese Gearhart-Dekreon (ccg@uaa.alaska.edu). PDF files are preferred.

  • Becoming designated as an advisor, so that you can use DegreeWorks and UAOnline tools for advisors
  1. Ask your department head (or associate dean, dean, director or similar authority) to write an e-mail message explaining that you need to be officially designated as an advisor. The message should also include your full name and your UAID number.
  2. Attach a PDF file of your FERPA training certificate.
  3. Send the message and attachment to the Degree Services office (degrees@uaa.alaska.edu).

Your new FERPA certificate data will be automatically loaded into the Banner database at 5 a.m. the next day, if you typed your UAID and name in the FERPA training site exactly the same way that they're recorded in your employment records. After the new training data is loaded, you'll be able to use the advisor tools in UAOnline. If you are still unable to use the UAOnline advising tools after 5 a.m. the day after FERPA training, scan and e-mail a copy of your FERPA certificate to ccg@uaa.alaska.edu and mlopezgonzalez@uaa.alaska.edu and ask that it be entered in Banner. If you need to use the UAA College of Education's PeTAL system, note that it may take up to 72 more hours for that system to get your new certificate data after it is entered in Banner.
